Get listed: How to use our new online calendar tool

Here in Extra, we’re dedicated to helping readers make the most of their entertainment time and budgets. That’s why we offer not only a Thursday print section packed with weekend planning ideas, but also an online calendar tool that can be used to both search for events and submit information about upcoming happenings.


If you head to calendar.roanoke.com today, you’ll see our latest redesign of this tool. The new calendar site includes many improvements and is easy to navigate. It’s also compatible with all Internet browsers and mobile devices. Most events that were submitted to the old calendar will be added to the new tool as soon as possible, but feel free to sign on and enter your own events now.

After you’ve steered your browser to the online calendar, consult this guide to learn how to make the most of the new tool.


If you’re searching for events …

There are a few different ways to look through the calendar. First, you can do a simple keyword or zip code search. Get more specific with your search by selecting flags, such as “free” or “family friendly,” in the search box.

Events listed in the Standouts area below the search box are our picks for the best events of the week. These are the same events printed on Page 3 of Inside Out on Thursdays.

The “Most Popular Events” list includes those that have received the most clicks in the online calendar, and “Recently Added Events” are the latest events submitted.

It’s also possible to browse events on a certain day by clicking the corresponding date in the calendar graphic, or by entering a date range in the search tool.


If you’re submitting events …

Prior to submitting an event you will need to log in to Roanoke.com. You will be prompted to create a username and password after clicking “Post your event” above the search form at calendar.roanoke.com. Users of the old calendar system will need to re-register.

After logging in or creating an account, enter the event information.

Once the submission form is complete, click “Next step.” If the submission is successful a confirmation page will appear. If one or more of the required fields is left blank, your browser will remain on the submission page and red text stating “This Field Is Required” will appear next to the necessary fields.


Submission tips and tricks

  • Only submit events once.
  • Submitting events to the online calendar or having the event printed in the paper is free, but we cannot guarantee that every entry will be published. We also may edit the information as necessary for brevity or clarity.
  • If your event spans multiple days but the time for each day is different, you must submit each occurrence separately. Events that take place at the same time each week or month can be added as a recurring event — simply select one of those options under the “Occurs” drop-down menu on the submission form.
  • Be sure to select a section (one of the check boxes immediately under the “Event Title” box) and enter the zip code where the event will be taking place. This is how we will make sure your event is printed in the correct calendars.
  • Be as specific as possible when selecting a section, and only select the one that best fits your event. Just because multiple sections are selected doesn’t mean the event will be printed in multiple calendars.
  • Classical music, choir performances, recitals, theatre shows and similar events should be categorized under “arts.” Mainstream concerts, bar music and miscellaneous music events should be categorized under “music.” The “extras” category is for all events that don’t have a specific niche.
  • Don’t go crazy with punctuation or capitalization. Any creative typing will be edited before print.
  • Certain event locations are pre-populated. Click “Find Location” to browse these venues or manually type in the location of the event.
  • Edit submitted events by clicking “Post your event” at calendar.roanoke.com. After logging in, click “Events” and then “Manage events” on the left side of the screen. A list of submitted events will appear after a few moments, as well as links to edit them.
  • Events can be submitted to the online calendar months in advance.
  • The deadline for Inside Out is the Thursday one week before print. Information about deadlines for other calendars in various sections of the newspaper can be found at calendar.roanoke.com.
  • All events are entered online before print. We prefer that users submit events directly to the website to ensure that they appear in the online calendar as soon as possible.
